About your role

 

The Accounts Coordinator – Logistics & Customer Service supports IXOM’s Bulk Liquid Tanker operations in Mount Maunganui. You will help keep customer accounts and operational administration running smoothly through accurate invoicing, delivery and inventory reconciliation, data management, and responsive customer support. Working with fleet operations, customers, drivers and internal teams, you will play an important role in ensuring completed work is reconciled accurately and accounts receivable processes are supported on time. 

 

Key Responsibilities 

 

  • Prepare, validate and process customer invoices in line with agreed schedules and requirements. 
  • Investigate and resolve invoice discrepancies, pricing queries and billing issues.
  • Reconcile daily bulk chemical deliveries against operational and customer records. 
  • Work with the Inventory Team to resolve stock movement and inventory variances. 
  • Maintain accurate customer account information, delivery documentation and operational records. 
  • Respond to customer enquiries about deliveries, invoicing, reconciliations and service matters. 
  • Support the Administration Manager and BLT Operations Team, including leave coverage when required. 
  • Identify opportunities to improve administration, reporting accuracy and workflow efficiency. 
  • Follow IXOM health, safety, environmental, quality and regulatory requirements. 

 

Who are we looking for?

 

  • 1–3 years’ experience in administration, accounts coordination or customer service, ideally within supply chain or logistics. 
  • Experience with invoicing, reconciliations and accurate data entry. 
  • Experience using SAP or a similar ERP system. 
  • Intermediate Microsoft Excel and Microsoft Office skills. 
  • Strong attention to detail, organisation and time management. 
  • Clear written and verbal communication skills. 
  • Ability to manage competing priorities and meet deadlines. 
  • A relevant qualification in Business Administration, Accounting, Logistics or a related field is desirable.
